Overview
Cohorts allow you to create and manage user segments based on their properties and behaviors for deeper analysis. This powerful segmentation tool helps you understand different groups of users and track their engagement patterns over time.
Prerequisites: To use Cohorts, you must first install Crowd on your website to start collecting user data. If you haven't installed Crowd yet, please follow our Installation Guide before proceeding.
Accessing Cohorts
To access the Cohorts feature:

Log in to your Crowd account

Click on User Activities in the left navigation panel

Select Cohorts from the dropdown menu

Understanding Your Cohorts Dashboard
The main Cohorts page displays all your existing cohorts in a table format with the following information:

Name: The cohort identifier

Definition: The rules that define the cohort

Size: Number of users in the cohort
-
Last Calculated: When the cohort was last updated
Cohorts are automatically updated every hour to ensure your segments reflect the most current user data.
Creating a New Cohort

Click the Create cohort button

Fill in the basic information:

Cohort name: Give your cohort a descriptive name (e.g., "Power Users", "New Subscribers")

Description: Add context about what this cohort represents

Setting Up Cohort Rules
Cohorts are defined by rules that determine which users belong to the segment. You can create simple or complex rules using various operators and conditions.
Rule Types and Operators
User Property Rules

equals: Exact match (e.g., Plan equals "Premium")
-
does not equal: Exclude exact matches (e.g., Plan does not equal "Free")
-
is one of: Match multiple values (e.g., Country is one of "US, UK, Canada")
-
is not one of: Exclude multiple values (e.g., Plan is not one of "Free, Trial")
-
contains: Partial text match (e.g., Email contains "company.com")
-
does not contain: Exclude partial text matches
-
has any value: User has this property set
-
has no value: User doesn't have this property set
Event Performance Rules

performed: User completed a specific event (e.g., "Checkout Completed")
-
did not perform: User hasn't completed a specific event (e.g., "Add to Cart")
Event Count Rules

is greater than: More than X events (e.g., Login count > 5)
-
is greater than or equal to: X or more events (e.g., Purchase count ≥ 10)

is less than: Fewer than X events (e.g., Session count < 2)

is less than or equal to: X or fewer events (e.g., Support tickets ≤ 1)

equals: Exact event count (e.g., Onboarding steps = 3)
-
does not equal: Not a specific count (e.g., Failed logins ≠ 0)
Time-Based Rules (First Seen/Last Seen)

is before: Before a specific date
-
is after: After a specific date
-
is on: On a specific date
-
is within the last: Within a time period (e.g., 30 days)
-
is not within the last: Outside a time period (e.g., not within last 7 days)
Rule Logic Options
When creating multiple rules, you can choose how they interact:

Match all rules: Users must meet ALL conditions (AND logic)

Match any rule: Users must meet at least ONE condition (OR logic)
Adding Multiple Rules

Click Add rule to create additional conditions

Select the rule type from the dropdown

Configure the property, operator, and value

Use the trash icon to remove unwanted rules
Managing Existing Cohorts

Find the cohort you want to modify

Click the Edit option (three dots menu)

Update the name, description, or rules as needed

Click Update cohort to save changes
Deleting Cohorts

Locate the cohort in your list

Click the Delete option (three dots menu)

Confirm the deletion

Use descriptive names: Make cohort purposes clear from the name

Add detailed descriptions: Help team members understand the cohort's purpose

Start simple: Begin with basic rules and add complexity as needed

Regular review: Periodically review cohort performance and relevance

Test your logic: Verify that your rule combinations produce expected results
Troubleshooting
Cohort size is 0 or unexpected

Check that your rule logic (Match all vs. Match any) is correct

Verify property names and values match your data exactly

Ensure date ranges are realistic for your user base
Cohort not updating

Cohorts update automatically every hour

Large cohorts may take additional time to process

Contact support if updates seem significantly delayed
